Candidate Privacy Notice
Last updated: 12 October 2026
This notice explains how personal data is processed when you participate in a hiring process supported by WeDoHiring and Taleruvi.
1. Who controls your data?
For most recruitment and hiring activities, the organisation offering the position determines why and how candidate data is used and therefore acts as the data controller.
Pilladia AB, operating WeDoHiring, supports the hiring process and may process candidate data on behalf of that employer.
Limited independent-controller activities
For limited activities where Pilladia AB determines its own purposes, such as security, service integrity, legal compliance and operational audit records, Pilladia AB may act as an independent controller.
2. What information may be processed?
- name and contact details;
- CV, employment history, education and qualifications;
- skills and professional experience;
- application responses and interview information;
- scheduling information and communications;
- candidate evaluation information;
- job-related scores or assessments;
- workflow and decision records; and
- consent, objection or privacy-right records.
3. How is AI used?
Taleruvi may use AI-assisted and deterministic tools to help authorised users review job-related information.
Examples of supported activities
- extracting information from CVs;
- comparing candidate information with job-related criteria;
- generating summaries;
- supporting candidate evaluation; and
- supporting ranking or review.
AI-assisted outputs do not make the final hiring decision. The client employer's authorised human decision-makers retain responsibility for final hiring decisions.
4. Legal basis
The legal basis for candidate processing is determined by the employer in accordance with applicable law and may include legitimate interests, steps relating to a potential employment relationship, legal obligations and, where appropriate, consent.
5. Retention
Taleruvi supports configurable candidate-retention rules. The current default service configuration is 365 days.
Client-specific lawful retention settings may differ. A different retention period may apply where established by the employer or where continued retention is required for legal obligations, claims, approved retention extensions or other lawful reasons.
6. Your rights
Depending on applicable law, you may have rights to access information, correct inaccurate information, request deletion, restrict processing, object to certain processing, request portability where applicable and receive information about relevant automated processing.
How to exercise your rights
Candidates should normally contact the employer responsible for the hiring process. You may also contact WeDoHiring at hello@wedohiring.com.
